System of Record vs. System of Engagement, Part 4: A Plan for Success

As we’ve followed Tony through his strategic planning process, we’ve seen how he has found a win-win solution that works well with his company’s larger goals.

In a nutshell, his plan is to continue to use his MPulse CMMS software to collect and analyze maintenance data. Then he will sync this CMMS data using MPulse’s DataLink Integration Adapter with other systems, like the proposed ERP.

It’s a great plan. Tony’s maintenance team is happy because they’ll continue to use software tools designed specifically for maintenance. And Tony’s managers are happy because they get the data they want as well as a faster implementation at a lower cost.

Same Strategy, Different Situation

It occurred to me that Tony’s plan would work in other common situations experienced by maintenance managers, with some minor adjustments.

For example, a similar strategy would work…

  • When companies already have an ERP system in place, and the maintenance team wants to add functionality with CMMS software
  • When the maintenance team wants to implement CMMS software for the first time, and they need to show management how it will improve operations
  • When it’s time to upgrade or add functionality to their CMMS software, and the maintenance department needs to show the value for the organization as a whole
  • When the maintenance manager wants support for other projects or plans, and they need CMMS data to illustrate the potential benefits.

Extend the Benefits of CMMS Software

If you find yourself in one of these scenarios, it’s important to show your key stakeholders how modern CMMS solutions are the best way to plan and manage maintenance and assets—and how easy it is to extend those benefits across the organization.

Imagine your maintenance team…

  • Collecting run-time data from your MRP/MES system
  • Automating data collection from your assets
  • Creating purchase requisitions to feed into your AR/AP system
  • Automatically updating PO status from your ERP system
  • Gathering vehicle odometer readings with your fuel card system
  • Tracking MRO inventory by storeroom and roll it up to purchasing
  • Working with mobile tools for smartphones and tablets
  • Using data on an asset’s condition to schedule PMs
  • Tracking budget expenditures in real time on the shop floor
  • Implementing an automatic intelligent request approval routing system
  • Triggering maintenance tasks using PLC data.

CMMS software can improve the workflows of people outside of your maintenance team. Automating maintenance data collection and distribution can reduce tedious administrative work, so your company’s employees can focus on more important tasks.
