Implementing the InfoNet E-mail Notification System |
We live in a fast-paced, instant communication society. Customers are used to giving and getting information — NOW. You can now do business 24 hours a day, 365 days a year in many sectors of our economy. With the internet, e-mail, and cell phones with both voice and text messaging, customers have become accustomed to near-instant information exchange.
Why would your customers, at your plant or facility, expect anything different from their maintenance department? They get instant feedback, progress reporting, and more communication than ever before from all their other sources. The old excuses of lost forms or 'snail mail' are no longer valid.
With the release of MPulse v6.7 in June, the InfoNet E-mail Notification System (ENS) will become part of MPulse Gold, WorkFlow R, and WorkFlow W. We realize the functionality in ENS is no longer simply an option, but a necessity for our customers, as well as their customers.
ENS will optionally notify the requester at the following intervals:
- When their request is received
- When their request is converted to a work order
- Whenever the due date changes on their work order
- Whenever the status on their work order changes (Open, Hold, or Canceled)
- Whenever their work order is completed and/or closed
ENS allows you to build response templates for each automated response type. The responses are automatically sent at whatever condition and interval you specify. Using the template builder, you can create your messages to match your unique communication style. You can even create the templates using HTML coding and include graphics in the response.
At a minimum, you should set up ENS to:
- Confirm the receipt of your customer's request
- Update your customer on the status of their request once you have had a chance to look at it and fit it into your work picture
- Notify your customer of any changes in the progress towards completion of their request
- Notify your customer when their work is completed
Another option of ENS is to receive inbound e-mails from your requesters. We call this functionality Inbound E-mail Notification and it is a part of ENS. When the feature is set up, ENS will parser out an e-mail sent to a designated e-mail address (i.e., maintenance@yourcompany.com) into an MPulse Maintenance Request record. Organizations can use both InfoNet Maintenance Requesting and ENS Inbound E-mail Notification concurrently. Some of your customers will want to use the web pages, others will use e-mail. You can make the choice. Regardless, as a submittal method, ENS will keep your requestors informed.
There are other features of ENS coming in the next release in addition to those described above. ENS can also be set up to e-mail work orders directly to assigned maintenance technicians. Again, this feature is optional; you turn it on or off by checking the box. This feature is especially handy for sending work orders to off-site technicians and contractors. The template generator can be used to customize your work order form, as well. The standard work order form is the default work order when you first begin using ENS.
ENS can also be integrated with InfoNet Request Approval Manager. When this integration takes place, ENS will send e-mails to the approver with a link to the approval page, as well as the requester, informing them of the status of a request.
